We are looking for agile, dependable and smart EXECUTIVE PERSONAL ASSISTANT. An Executive Personal Assistant provides comprehensive administrative support to high-level executives, assisting them in managing their daily activities and ensuring their schedules and priorities are well-organized. This role involves handling confidential information, coordinating meetings, managing travel arrangements, and serving as a liaison between the executive and other stakeholders. The Executive Personal Assistant must demonstrate exceptional organizational skills, professionalism, discretion, and the ability to handle multiple tasks efficiently.
Responsibilities:
1. Calendar Management:
– Manage the executive’s calendar, scheduling and prioritizing appointments, meetings, and events.
– Coordinate and schedule internal and external meetings, ensuring all necessary materials are prepared and distributed in advance.
2. Travel Coordination:
– Make travel arrangements, including booking flights, hotels, ground transportation, and visas.
– Prepare travel itineraries, ensuring all necessary details and documents are provided.
3. Communication and Correspondence:
– Screen and prioritize phone calls, emails, and other correspondence for the executive.
– Draft and prepare professional correspondence, reports, and presentations on behalf of the executive.
4. Meeting Support:
– Prepare agendas, documents, and presentations for meetings.
– Attend meetings, take minutes, and follow up on action items.
5. Information Management:
– Manage and maintain confidential files, records, and documents.
– Conduct research and compile information as required.
6. Relationship Management:
– Act as a liaison between the executive and internal/external stakeholders.
– Build and maintain positive relationships with clients, partners, and colleagues.
7. Administrative Support:
– Provide general administrative support, including handling incoming and outgoing mail, processing expenses, and managing office supplies.
8. Event Coordination:
– Assist in organizing corporate events, conferences, and other special occasions.
Qualifications and Skills:
– Proven experience as an Executive Personal Assistant or similar role.
– Excellent organizational and time management skills.
– Strong verbal and written communication skills.
– Ability to handle sensitive and confidential information with integrity.
– Exceptional attention to detail and accuracy.
– Proficient in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).
