Objectives of the Position:

The position is mainly responsible for handling salary and payroll management, benefits administration, and vendor management. The position also prepares monthly reports such as journal voucher, compensation report, statutory and tax remittances.

Roles and Responsibilities:

  • Manage payroll of all employees including local senior leadership team from preparation to crediting of salaries in the employees’ payroll bank accounts, ensuring accurate and timely payment of salaries to employees including the 13th month pay and variable pay, and compliance to pertinent government regulations. Process last pays and benefits of separated employees, such as, resigned, and retired employees, ensuring that these benefits are fully paid on a timely manner.
  • Manage the timekeeping function to ensure timeliness of processing and accuracy of data provided by the timekeeping device. Prepare attendance reports and work together with immediate superiors to address employee attendance issues and concerns.
  • Handle monthly payroll reports for submission to shared service, and tax reports and annualization of withholding and income taxes of employees to meet government reportorial requirements. Prepare and ensure that all employees are provided with their income tax returns.
  • Manage statutory benefits (SS, Phil Health and Pag-IBIG Fund) administration to ensure full compliance to government regulations. Handle payment of employer and employee contributions and loan payments as applicable to SS, Phil Health and Pag-IBIG Fund, and resolve issues to meet regulatory obligations of the company and ensure that employees continue to avail of these benefits.
  • Assist in managing the company’s annual insured benefit programs. The task includes handling employees’ enrollment and delisting from coverage, assisting employees in availing insurance benefits, and processing insurance premium payments and employee claims. Coordinate with local broker to address operational issues and concerns, and alert management and to problems impacting the program.
  • Process employee’s application for company’s non-insured benefit programs. Ensure fairness and responsiveness to employees’ needs while ensuring also that policies and process set are complied with.
  • Process requirements for actuarial report and regular funding of retirement benefit and provident fund.
  • Regularly document and deploy changes in the benefits program to promote awareness policies and procedures, and availment of benefits.
  • Handle special HR activities such as annual physical examination, vaccination, etc.
  • Maintain an accurate and updated employee information in HRS and 201 File to ensure the completeness and reliability of employee data used in HR and other organizational processes.
  • Handles preparation of documents related to employment such as contract, personnel action notice, schedule of benefits, certificate of employment, etc.
  • Ensure accuracy and completeness of all documents related to the separation of an employee. This includes clearance forms and quit claim agreement.
  • Maintain an accurate and complete documentation of job descriptions of all positions in the company.
  • Manage accreditation process of HR and Administration vendors and suppliers to ensure that criteria set for accreditation are met. Work with Procurement in vendor sourcing, assessment, and evaluation to get the most advantageous terms for the company.
  • Process payment in a timely manner to avoid penalties and other additional cost to the company.

Minimum Requirements:

  • Bachelor’s Degree in social science, business management or engineering- related courses.
  • At least 3 years of experience in human resources particularly in payroll administration and benefits preferably in a multi-national company or large local companies.
  • Various human resources concept and tools such as salary and benefits administration, remuneration surveys, labor relations.
  • Knowledge of government regulations pertaining to statutory benefits (SS, Pag-IBIG, Phil Health) and taxation.
  • With good analytical and problem-solving skills.
  • Possess good organizational skills, a proactive mindset, and ability to multitask and prioritize work.
  • Express self well in English both orally and in writing.
  • Proficient in Windows and MS Office Applications.
  • Demonstrate leadership, professionalism, and integrity at work.
  • Proactive, can work independently and in teams.
  • Willing to be employed for 1 year under a fixed-term contract.
