Position: Motorpool Department Admin Officer
Job Summary: The Motorpool Department Admin is responsible for providing administrative support to the Motorpool Department, ensuring smooth operations and efficient utilization of vehicles. This role involves coordinating vehicle reservations, maintaining vehicle records, managing fuel consumption, and assisting with administrative tasks related to vehicle maintenance and repairs.
Accountabilities:
- Vehicle Reservations:
- Receive and process vehicle reservation requests from the trucking department.
- Coordinate vehicle availability and scheduling.
- Ensure timely communication with requestors.
- Vehicle Records Management:
- Create and maintain a comprehensive database of motor vehicles.
- Update vehicle records regularly to ensure accuracy and completeness.
- Conduct periodic audits of vehicle records.
- Fuel Management:
- Monitor fuel consumption of vehicles.
- Coordinate fuel refills and document fuel expenses.
- Implement measures to optimize fuel efficiency.
- Administrative Support:
- Assist in maintaining vehicle maintenance schedules and tracking vehicle inspections.
- Support the coordination of vehicle repairs and maintenance.
- Manage motor vehicle-related documentation.
Responsibilities:
- Assist in maintaining accurate records of vehicle reservations and communicate with requestors.
- Create and maintain a comprehensive database of motor vehicles, including registration documents and maintenance records.
- Monitor fuel consumption and coordinate fuel refills, ensuring proper documentation of expenses.
- Support the coordination of vehicle repairs and maintenance, including liaising with external service providers.
- Assist in managing motor vehicle-related documentation, such as permits, licenses, and insurance.
- Prepare regular reports on motorpool operations, including vehicle utilization, fuel consumption, and maintenance expenses.
- Provide administrative support to ensure smooth motorpool operations and efficient utilization of vehicles.
- Ensure compliance with relevant regulations and policies related to vehicle usage and maintenance.
- Assist in conducting periodic audits to verify adherence to motorpool policies and procedures.
- Identify and report any safety or compliance concerns to the management.
Qualifications:
- College diploma or equivalent; additional administrative or automotive-related certifications are a plus.
- Proven experience in an administrative role in a motorpool or fleet management environment.
- Proficiency in using computer software and applications, including MS Office Suite and database management systems.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize work effectively.
- Knowledge of vehicle maintenance and repair procedures is desirable.
- Familiarity with applicable regulations and compliance standards related to vehicle operations is a plus.
