Records Management Assistant
Duties and Responsibilities:
- Receives documents and pull-out requisition forms from various departments Logs incoming and outgoing documents/ vouchers
- Undertakes grooming, scanning and uploading of received documents/vouchers
- Validates accuracy of vouchers encoded in the system
- Assists during retrieval and return of documents/vouchers
- Stores documents in appropriate shelves in accordance with the filling system Prepares daily and monthly monitoring report submitted to the Records Management Specialist
- Performs tasks as provided for in the updated and approved PSMBFI Operations Manual Performs other related functions as directed by superior
Office Coordinator
Duties and Responsibilities:
- Prepares and processes disbursement vouchers and ensures accurate monitoring of expenses of the department
- Prepares Program Review and Analysis (PRA) and departmental budget
- Assists in the preparation of various communications, memoranda and departmental reports
- Receives and records incoming and outgoing communications of the department
- Maintains neat and orderly files of the department and ensures completeness, proper documentation and confidentiality
- Manages office and computer supplies as well as office equipment to ensure availability of resources for use by the department
- Attends to members’ queries, as needed
- Assists in various activities of the different sections of the department, as needed
- Assists in the submission of documentary/ reportorial requirements of the Insurance Commission
- Performs tasks as provided for in the updated and approved PSMBFI Operations Manual
- Performs other related functions as directed by superiors
